How do I get Evie to schedule an interview?

You can get Evie to coordinate between an interviewer and a candidate by:
1) explicitly asking for an interview to be scheduled
2) placing the required interviewers in the To: field and/or optional interviewers in the Cc field
3) listing the candidate's name and email in the email body

For example:
To: interviewer@company.com;
Cc: evie@company.com
"Evie please schedule an interview with Candidate (candidate@email.com)."

Evie will reach out to the interviewer and candidate on separate email threads.

Can I schedule multiple interviews with different candidates from one email request?

Yes. You can do so by listing out all the candidates' names and emails in bullet form.

For example:
To: interviewer@company.com
Cc: evie@company.com

"Hi Evie, please schedule a interviews with the following candidates:
• John (john.evieai@gmail.com)
• Jane (jane.evieai@gmail.com)
• Alex (alex.evieai@gmail.com)

Will Evie automatically book a meeting room to go with each interview?

If your team has meeting rooms set up, Evie will find and book an available room for each interview by default.

Whose calendar does Evie base time availability on?

Evie suggests interview time slots to candidates based on required interviewers' calendars.

Evie is able to read your colleague's free/busy calendar availability via your account.

When scheduling interviews, Evie assumes by default that you (the recruiter) will not be attending the interviews. Hence, Evie will not check for your availability. (To customize this workflow, talk to us!)

How many time options will Evie provide when scheduling for multiple candidates?

Evie will provide a minimum number of slot equal to the number of candidates, and ideally double the number of candidates if the interviewers' calendars have enough availability.

For example, if there are 3 candidates, Evie will find between 3 to 6 time slots. If Evie isn't able to find at least 3, Evie will circle back to the recruiter for further instructions.

What are the hours of a day Evie might schedule interviews for?

If the interviewers have Evie accounts, Evie will follow their schedule preferences for meetings.

If the interviewers are not Evie users, Evie will follow a default global setting of between 9AM to 5PM local time.

Can Evie see the availability of interviewers if they are not Evie users?

Yes. Evie can see your colleague's free/busy calendar availability via your account.

When scheduling interviews, Evie assumes by default that you (the recruiter) will not be attending the interviews. Hence, Evie will not check for your availibity for interviews.

How do I keep track of Evie's scheduling progress?

Recruiters will be sent a daily progress report on all active scheduling requests, and by default, recruiters are cc'ed on every email on both threads (interviewers' and candidates' threads).

If a recruiter doesn't want to be copied on all emails, they can disable this feature on their preference dashboard. This means that Evie will only bcc recruiters on the first emails to interviewers and candidates. Once candidates have chosen a time, recruiters will receive the confirmation email for each interview.

How often does Evie remind interviewers or candidates who have not responded to an interview request?

Evie will follow up with any non-responsive invitee twice. If there is no response after the second follow up, Evie will check back with you for further instructions.

What happens if two candidates choose the same time slot?

Time slot selection is on a first come, first serve basis. Evie will inform the second candidate that the time slot has already been taken and provide the remaining time options.

If the candidate asks Evie a question regarding the interview (irrelevant to scheduling) and I am not copied on the thread, how will Evie handle this scenario?

If Evie finds that there is a response without relevance to scheduling the interview, Evie will forward the message to the recruiter for a follow-up action.

How early might Evie suggest for an interview slot?

If you have specified a time period in your request, Evie will schedule within that period.

For example, you send this request to Evie on a Monday: "Evie, please schedule interviews later this week."

Evie will ideally give about 3 days as a buffer to the suggested times, which means Evie would suggest times on Thursday or Friday. If there isn't adequate availability on these days, Evie will look at Wednesday.

Otherwise, if you don't include a time period, Evie will suggests times 7 days from the day of your request onward.

What happens if any party declines a calendar invite that Evie has sent for a confirmed interview?

Evie will ask the person who declined the invite whether they'd like to reschedule the interview.

Can I also use Evie to schedule regular meetings or calls?What happens if two candidates choose the same time slot?

Yes, you can. You can simply add your required invitees in the To: field and optional invitees in the cc field, and cc Evie.

Let Evie know that you'd like a meeting scheduled, for example, "Evie, please schedule a meeting for us this week." If you'd like Evie to set up a call, you could say, "Evie, please find us a time for a call."

How long does Evie take to respond?

Evie takes about 5 to 10 minutes to respond to any request or response.
